In the collection, use and storage of personal data The Big House (Ireland) will seek to respect and value you and comply with the law as expressed in the General Data Protection Regulation (GDPR).

By “personal data” we mean any data or information we have on computers or on paper that uniquely identifies you e.g. your name, address, phone number, or email address.

Our Commitments

We will

  • only use your personal data in ways that are lawful and only for the purpose it was collected;

  • explain clearly how and why we are using your personal data;

  • only store personal data about you that we need and only for as long as we need it (in some cases this may be to meet legal requirements e.g. for Gift Aid, accounting or payroll);

  • try to ensure that any personal data we have about you is accurate and up to date;

  • store any personal data we have securely.

We will NOT

  • sell your personal data to anyone;

  • share your personal data with other organisations, except those who process data as part of providing services to us e.g. Mailchimp or Google for emails, MyDonate or Paypal for donations, or Eventbrite for bookings. Some of these may be overseas but they are all required to adhere to the same high standards as GDPR.

Your Rights

You can

  • ask us to provide you with a copy of all the personal data we have that relates to you – you can request this in a computer file format for importing into other systems;

  • ask us to correct any inaccurate data we have about you e.g. change of address;

  • ask us to delete all the personal data we have about you, or restrict how we use it (without deleting it) or object to our use of your personal data for a particular purpose;

  • make a complaint to the Information Commissioner’s Office (ICO) if you are unhappy with how we have handled your personal data or your data requests.

What Data we Collect, Why and How we use it

We collect, use and store personal data for four main reasons. These are listed below along with what data is collected, why we collect it and how we will use it.

1. Providing services – for example, to book your place on a training event or your child’s place on a camp, or as part of a referral for counselling. In these cases we will only use your personal information in relation to the service we are providing to you unless you give us permission to contact you for other reasons. In the context of applications for residential programmes this may include special category data (often referred to as sensitive data) such as information about health conditions or medication. In some cases this will also involve processing data about a child, if they are under the age of 16 years we will either request the information from someone with parental responsibility or obtain their consent.

2. Informing you about us or our work, for example, signing up to receive prayer updates or newsletters. In this context we will normally collect your name and a means of contacting you, such as your address, phone number or email address

3. In connection with financial donations, e.g. making an online donation, completing standing order form or Gift Aid declaration. We will normally ask for your name and address in connection with a donation so that we can claim Gift Aid if your donation is eligible or becomes eligible in future.

All online payments are handled on our behalf by third parties (e.g. Paypal) and we do not store any payment card information. If you send us your banking details as part of setting up a standing order these are passed on to your bank and we do not retain them. If you make single or regular (standing order) payments into our bank account your name may appear on our bank statements and as such be retained for accounting purposes.

We believe that if you are financially supporting our work it is reasonable for us to contact you to thank you, to inform you about other ways you can support our work or to update you from time-to-time about the work you are supporting. We will always provide ways for you to opt out of these (e.g. through the “unsubscribe” or similar link on our emails).

4. Recruiting and managing personnel, for example, in the recruitment of volunteers, payroll for staff. We may ask you to provide a wide range of personal information as part of our recruitment process, in some cases including information about health conditions or criminal convictions (as part of a background check). As with other personal data, we will store this information securely, only keep it for as long as necessary and only use it for the purpose of recruitment or as part of our responsibilities to you as an employee or volunteer. For employees, we will store some personal data to allow us to pay you, process your tax and national insurance through PAYE and make pension contributions.
